1.      Generic Questions (Applicable for Donors and Attendees)

  1. When & where is the BMM 2017 Convention?

The BMM 2017 convention will be held between July 7th and July 9th 2017 at DeVos Place Convention Center at Grand Rapids, Michigan, which is two hours away from Detroit and Chicago.

In addition to the main BMM convention, we will have three conferences namely Business conference, continuing Medical Education (CME) and Uttar Rang along with the Banquet dinner and program on Thursday, July 6th 2017. Please refer to the BMM 2017 website for more details.


  1. Why should one attend BMM 2017 convention?

Biennial BMM convention is the flagship event for Marathi community in North America and in the world. While we nurture Marathi culture at our home, with our friends and in our local mandals, such gathering for three days builds belonging to the community, which is especially critical for our children. Besides, there are many other advantages:

  1. Exceptional cultural programs, not available on internet.
  2. Value for money. About 40% of the cost of the convention is met by fundraising from Individual and corporate donors. Such fundraising allows us to keep convention affordable and also bring top quality entertainment programs for our attendees.
  3. Opportunity to meet your relatives and friends under one roof
  4. Opportunity for family vacation during the week of 4th of July ending with BMM2017 convention
  5. Business networking with entrepreneurs and other professionals
  6. Opportunity to show case your talent in variety of show in front of a large group of people from across the world

2.      General Registration (ATTENDEES)

  1. What events can I register using the main BMM 2017 registration form?

You can register for the Main Convention, Banquet dinner, Business Conference, CME Conference, Uttar Rang, and banquet using the main registration form.

BMM 2017 registration committee has made every effort to make the registration form as simple and user friendly as possible, providing drop downs to choose from available options, check boxes etc. If you have any suggestions to improve the form or encountered any issues, please send email to registration@bmm2017.org


  1. What are the prices for BMM and other events?

Registration opens on the auspicious day of Narak Chaturdashi on October 29, 2016 and the various pricing options are as follows –

  • BMM Main Convention prices include convention registration, all programs & food.
  • Banquet dinner held on Thursday, July 6th is a separate event and not included in the main convention registration & food.
  • All Ages mentioned in the Price list below are as of June 30, 2017.
  • Parents can bring their Children below the age of 3 (as of June 30, 2017) at no charge. BMM Convention does not offer child care for children below the age of 3.
  • CME and Business Conference prices include food (lunch & snacks).
  • Thursday lunch option is for family members of those attending CME, Business and Uttar Rang attendees. The lunch cost for the attendees of CME, Business and Uttar Rang is built in the rates of those conferences and thus not charged separately.
  • There are no discounts for senior citizens, or any groups of any kind.

  1. Are daily passes available for the convention?

 

No. We are not planning to offer daily passes or tickets to any specific programs, which are part of the main convention.


  1. Can I pay for BMM 2017 Convention in installments?

 

Yes, in response to feedback on the affordability of the convention from some families, we have provided an option to pay for BMM Convention in 4 installments. In order to do so, register any time before December 31, 2016 with a maximum of 4 post-dated checks (no credit cards) as per the schedule below:

 

25% at the time of registration

25% on January 31, 2017

25% on March 31, 2017

25% on May 31, 2017

 

Following are the terms to avail this facility –

 

  1. Registration is at the regular price and not at the discounted price
  2. Seats will be assigned based on the last payment date
  3. Cancellation will be allowed till May 15, 2017. A 20% penalty will be charged for cancellation
  4. Bank fees for bounced checks will be charged to the attendee

  1. Are there any group discounts?

 

Unfortunately we cannot offer any group discounts for the convention. However, we can assist large groups with your registration. For other details such as your transportation needs and hotel reservations, please visit bmm2017.org web site as more information will continue to be shared on the website as it becomes available.


  1. Is group registration available? What are the benefits of such registration and what is the process?

 

BMM2017 is proud to bring this unique and convenient opportunity for you, your families and friends across the world to enjoy various programs together with assigned group seating. This group booking facility is available for attendees during the registration process. To use this facility, please send an email to registration@bmm2017.org before registration. We will provide a unique group booking code, which will be active for 10 days. Anyone, who is part of this group booking, should use this code during their individual registration. We will not recognize this code after 10 days, and anyone registered with this code, will be assigned block seating together.


  1. What are my payment options?

 

Payments can be made by Credit Card or Personal Checks. Cash payments and electronic transfers are not accepted. Credit card payments can be made on line at BMM2017.org and will be processed online by Sulekha LLC using a secured transaction page.

 

Checks should be made payable to BMM 2017 and mailed to BMM 2017, PO Box 531975, Livonia, MI 48153; once you complete your BMM registration, you will receive a BMM ID in the confirmation email. Please write your BMM ID on the back of the check. For payments made via check, registration will be confirmed only after the check is received. The check should be received within 14 days of registration. In case your check is not received in 14 days, your registration(s) will be automatically cancelled due to non-payment.

 

Installment scheme is also available if you register before Dec 31, 2016. Please see registration rate card for more details.


  1. Who is Sulekha? Why are they processing the credit card Payments?

 

Sulekha LLC is our payment gateway partner for the BMM registration process. It is a secured site to make payments for the convention. Sulekha is the biggest portal for Indian events. Sulekha LLC processes ticketing for almost all the big events in North America. They also manage registrations for most of the Indian communities and conventions. We have signed a contract with Sulekha to process the payments with legal protection to secure attendee data and their credit card information.


  1. Are my credit card information & other data safe?

 

Yes. Sulekha LLC will be managing all the credit card transactions using their secured payment gateway. Sulekha or BMM 2017 committee will not store any credit card information in it’s database. Sulekha or BMM 2017 committee will not share any data with the 3rd parties and the data will be strictly used for the activities related to the BMM 2017 convention.


  1. How do I start the registration process?

 

Please follow the steps below to register for BMM 2017

 

  1. Step 1: Go to BMM2017.org and click ‘Registration/Hospitality’
  2. Step 2: Click “Registration” in drop down menu
  3. Step 3: Follow the steps in the registration. Note that some items are mandatory and some are optional. We encourage you to complete all information
  4. Step 4: Complete the payment after registering all the people that you want to register right away
  5. Step 5: If your group has pre-arranged group booking with the Registration team of BMM 2017, Inform group registration code to your friends / relatives that you want to sit with during the programs and urge them to complete the registration within 10 days.
  6. Step 6: Wait for the hotel link to arrive in email. Make the necessary hotel bookings. Maps of the facility, hotels (including rates), and parking availability along with nearby attractions are available on BMM2017 under the section Venue. Please make sure to review before finalizing your hotels.

  1. If I live in India or any other country outside North America, how can I register for the convention?

 

The online registration process has been designed to allow registration from any location around the world. With expected attendees from Europe, Australia, New Zealand, Africa, Asia, Middle-East, and India, the registration and payment process has been standardized to make this process as integrated as possible. We can only accept registration and other fees in US Dollars. If, for any reason, you are having issues registering for the convention, please contact the registration team at registration@bmm2017.org


  1. Is Childcare available during the convention? What is the cost?

 

Yes, we will offer Childcare services for children ages 3+ to 12 (age as of June 30, 2017). To avail this facility, children must be registered for the convention. These services are free along with their registration.

 

During the registration process, you will be able to pre-register your child for these services. Please ensure that all the necessary fields including the age are filled out. You will also have to complete a form required by the childcare provider (the link will be sent to you closer to the convention).

 

Please Note: Teens and children must be registered for Teen Lounge and Childcare to get the confirmed spots. Walk-ins may not be guaranteed. Most of the Kids/Teens workshops are part of Teen Lounge and Childcare. Those who are not registered will miss the opportunity to be part of these interesting programs.


  1. What is the cancellation policy?

 

Cancellation of registration will be allowed till May 15th, 2017. A 20% penalty will be charged for each cancellation and balance of the money will be refunded upon request. For example, if you register 2 people with early bird discount at $260 / person and cancel one person before May 15th, 2017 your cancellation penalty will be $52. If you register for BMM ($260 /person) and CME ($150 /person) and later cancel CME, your penalty will be $30.

No cancellation or refund will be allowed after May 15th 2017. Cancellation request must be submitted to the BMM 2017 registration committee via email to registration@bmm2017.org


  1. How many members can be registered in single registration?

 

You can register up to 25 family members as part of a single registration. However, if you want to register different families or individuals under one registration, we suggest leveraging the group booking functionality mentioned in question 6 above.


  1. What information do I need to provide while making the registration?

 

The registration form is designed to gather information that is critical to ensure your maximum satisfaction during the convention. To organize the event, seating, food, facility and other activities, we need accurate information from you. Your name, postal address, phone number, and email address are most important. We will also need information on other attendees included on your registration (if applicable), age group, school & college information (for Alumni get-together) and other special needs like wheelchair access.


  1. What will happen after BMM registration is complete?

 

Primary registrant will receive confirmation email at the email address provided, consisting of registration details including your Login ID and password for the BMM User Portal. Links for hotel reservations will also be provided in the confirmation email and have to be reserved separately. BMM2017 also brings you a unique feature for your complete satisfaction before and during the convention. We will assign your single point contact i.e. a host for you. If you have any questions you can contact your host (whose contact information will be provided in the confirmation email of your registration. Your host will gladly assist you from the time of your registration all the way till the date of the convention.


  1. What information will be included on the convention badge and when will I receive it?

 

Every attendee will get a badge when he/she checks-in at the convention. Badge will contain Name, State, City, and Category of the Attendee (VVIP, VIP, Expo Vendor, Donor etc.). It will also contain the BMM ID – an unique ID number that will help us find your attendee information and your host’s name. This badge may also hold information about the different add-ons that you may have selected like CME, Banquet, Shuttle service, etc.


  1. When will I get my Seat number? What is the criterion for allocating seat numbers? How can I sit with my friends?

 

The seat numbers will be assigned few days prior to the convention and they will be printed on your badge. Seat numbers will be assigned on a “first-come-first-served” basis depending on the date and time of your registration payment. For credit card payment it will be the date/time of the credit card transaction and for check payments, it will be the date we receive/cash your check. If you have added additional people on your registration or are part of the group booking then please note that the entire block of seating for your group will be based on the date and time of the LAST person registered from your group. All these assignments will be completed after allocating priority seating for all donors.


  1. Will there be a separate section for senior citizens and people requiring special attention/wheel chairs?

 

We will make every effort to ensure that senior citizens will be allocated seating which is easily accessible and convenient. At the time of the registration, please make special request if any individuals on your registration will require wheelchair and other assistance required during the convention. For those who are mobility impaired or require wheelchair access, seating will be provided in accessible areas or near the aisle.


  1. Is there assigned seating for Banquet dinner?

 

Banquet dinner will be in the dining hall and the program will be in the performance theater. Seating for the program will be pre-assigned on a “first-come-first served” basis depending on the date and time of your banquet program payment after all the priority seats are assigned to the donors. Specific dining tables will be reserved for guests and artists and high end donors.


  1. How can I register for more people for the convention or register for additional events at a later date?

 

As mentioned in Question 13, you can add more attendees and additional events to your existing registration. This can be done by logging into the BMM User Portal using the login credentials provided in the confirmation email. For seating information, please refer to Q18 above.


  1. What is BMM User Portal and what can I do using the portal?

 

Once you complete your registration, you will be given access to a BMM User Portal. This portal will allow you to:

  1. Review your registration details and make any changes to your profile and attendee information.
  2. Register for any additional events and attendees at a later date, e.g. BMM Main Convention, Banquet, Uttar Rang, CME, Business Conference, etc.
  3. Make hotel reservations at BMM rates.

If you don’t have a need to make any changes, it is not necessary to login.

 

The Login ID will be your primary email address. Please note that password is case sensitive. Once you login for the first time, we recommend you to change the password as soon possible. In case you are not able to login using the password provided in the confirmation email, or you have trouble editing the information, please contact the registration team via email at registration@bmm2017.org


  1. If I am a participant in North American programming event at the convention or a volunteer, do I need to register? Are daily passes available for programming participants?

 

All attendees of BMM (donors, performers, attendees, etc.) are required to register for BMM. Please follow the process mentioned in Question 10 to register for the convention. Also, we are not offering daily passes for the convention


3.      Hotels & Tourism

  1. Which hotels are available nearby? Is there a discounted rate for BMM attendees?

There are many nice hotels near the Convention Center and Grand Rapids area. BMM is negotiating discounted rates for major hotels. Please visit the Hotels page on BMM website for updated hotels information.

 

Links for hotel registration with BMM rates will be provided in the confirmation email, after the registration is complete & submitted. For check payments of registration, links to hotel will be provided only after the check is cleared.


  1. What is the Hotel Reservation policy?

Only registered BMM2017 convention attendees have an option of making the Hotel booking at these rates. Once you have completed BMM registration, we request you to only make hotel reservation in your own name and not share the links with others who have not yet registered for the convention. If a misuse is observed, BMM reserves the right to cancel the Hotel booking. Any special requests for hotel including rollaway beds, cribs etc. should be made by directly by calling the particular hotel. For any unresolved hotel needs please send email to Hotels@bmm2017.org.


  1. Which Airports are convenient to the convention center? What options are available for transportation from Airport to Convention Center?

Grand Rapids is accessible from different airports. Frequent shuttle / CAB services are available from certain airports to the Grand Rapids Convention Center. Information pertaining to shuttle services and pricing will be made available in the next few months.

  1. What are the parking options for BMM attendees?

Discounted Parking is available at the Convention Center for convention attendees. Adjacent hotels also offer discounted parking spaces for BMM attendees staying in those hotels. Many parking structures in Grand Rapids downtown area offer free parking over the weekend. Many Hotels away from downtown offer free parking. Any parking charges will be paid by the attendees.   1. What is the process for individual donors to register for BMM

Please follow the steps below to register for BMM 2017

  1. Step 1: Go to BMM2017.org and click ‘Donor/Sponsor’ tab
  2. Step : Click “Donate” in drop down menu
  3. Step 3: Follow the steps for donation. Note that some items are mandatory and some are optiona We encourage you to complete all information
  4. Step 4: Complete the donation using a Credit Card or send a check made payable to BMM 2017 and mail it to BMM 2017, PO Box 531975, Livonia, MI 48153
  5. Step 5: Once the payment is received, we will register the donor with as much information as we have from the donation forms and the donor will receive a registration confirmation email with their login id (BMM ID) along with password. Please feel free to add additional information using your BMM ID and password in BMM 2017 portal. You can also choose any additional events or other children or adults not covered by the donation. A hotel room will also be assigned according to the donation level and the information will be included in the email along with the host information. We will assign a room in one of the three hotels adjacent to the Convention Center. They are: JW Marriott, Courtyard Marriott and Amway Hotel. If you as a donor have a preference, please let us know in advance.
  6. Step 6: Once you receive the email, validate all the information of your registration. If you have any questions, please contact your host or registration@bmm2017.org.

 


  1. If I am a donor can I register my children or other adults from my family (e.g. parents, in-laws, etc.) in my Donor registration?

Depending on the level of donation (mentioned in the table above in Q1), each donor will have a certain number of convention registration seats assigned to them. It is up to the individual donor to allocate those seats to whoever they choose. However, any additional seats beyond the assigned number will be charged at a standard registration rate.


  1. What will happen after BMM registration is complete?

Immediately after your donation has been received and confirmed, you will receive a confirmation email stating the details of your donation and details of your event package. BMM2017 also brings you a unique feature for your complete satisfaction before and during the convention. We will assign the host to you who will be your single point contact for any questions that you may have. The email will include the name and contact details of the Host assigned to you and your family. The assigned Host will send you an introductory email in the following week.

 

Within the next few days after your registration is complete, the Primary registrant will receive an email confirming their registration at the email address provided. It will include your BMM ID, Login ID and a password for a BMM User Portal will also be provided in the confirmation email. The email will also contain information about your Hotel Room booking.


  1. What is a Donor Portal and what can I do using the portal?

The donor portal is an online portal that can be used by the donors to make changes to their registration, add or remove people and select the programs that they would like to attend. However, the registration team will be completing the initial donor registration, once the payment is received through this same portal.


  1. Will there be a separate seating section for Donors?

Yes, there will be a separate priority seating section for the donors, at the front of the stage. Since the marquee programs will be hosted in the ‘Van Andel’ arena, the donor section will be setup on the arena floor, nearest to the stage. This area includes sofa seating for VVIP, premiere plus and high end donors. All other donors will have dedicated rows identified for them after the sofa rows (as mentioned in the table in Q 28). As mentioned in Q 28, the seats will be assigned in this area based on the date of the donation and the donation level.


  1. How can you ensure that my priority seating will be secured?

The donor seating area is planned separately to the attendee seating area and adequate numbers of seats have been preserved for donors. In addition to this, the area will be cordoned off for any generic usage to ensure that all donors can get to their assigned seats without any issues.


  1. How can you ensure that I get the hotel of my choice?

Specific hotel rooms have been reserved for the donors that are conveniently located in the convention center. Donors will be assigned rooms in these hotels based on first come first served. We encourage donors to donate early to take advantage of priority hotel rooms. We will try our best to honor any hotel preferences as requested.


  1. Is group registration available? What are the benefits of such registration and what is the process?

Group registration is not available to the donors unless all people in the group are at the same level of donation. However, if various families in your group are at the same donation level, then BMM2017 will be happy to provide you, your families and friends across the world to enjoy various programs together with assigned group seating. To use this facility, please send an email to registration@bmm2017.org before registration.
